3rd Kanata Scouters and Parents,

Nominations are being accepted for the 2003-04 Scout year for the following positions:

These are positions we require to be filled prior to the start of the next Scout year in September 2003.  You may recall we experienced a delayed start to the program this past year because positions were not filled.  Please do what you can.

You are invited to volunteer your name or nominate someone.  Please contact either

Group Committee and Section Job Descriptions

Assistant Registrar
Will work with the Registrar to ensure registrations and reference checks are done in a timely manner
Will learn the MMS system and be able to provide relief to the Registrar
(ideally this candidate will take on the role of Registrar next year)
This position runs from August to the following September with extra time being required at the start for training
The position falls under the Group Committee
Training Coordinator
Will pass information about training to the Leaders
Will ensure new Leaders know about and get the training they require
Will act as a mentor in helping the Leaders find the training that would best suit the individual and their section
This position would best be filled by a registered Scouter or someone with experience
The position runs from August to June and falls under the supervision of the Group Scouter and Group Committee
Secretary
Take minutes of Group Committee meetings
Transcribe and distribute minutes to all members
With the Group Chair, set the agenda for each meeting and attend all monthly Group Committee meetings
Distribute agendas prior to meeting
Receive and distribute reports from committee members
With the Group Chair, assist with the charter renewal
Assist with school and meeting room bookings as required
Keep records of all minutes to be passed off at year end
This position runs from September to September with summer months being a time for hand off to a new person
This position is a member of Group Committee
Group Scouter

This position would be best filled by a registered Scouter or someone with past experience.
Group Scouter Assistant
Will assist the Group Scouter as required with administrative support; leader follow-up; Area projects
This position runs from September through September with summer months being time for pass-off to a replacement
This position would best be filled by a registered Scouter or someone with experience.
This position falls under the Group Committee
Fundraising Coordinator
Head the committee which will plan all fundraising activities for the scout year
These will include but not necessarily be limited to
  • Apple day
  • Yard waste bag sales
  • Scout trees
The committee will work with the Group Committee to plan the event - decide on a date and venue
Order required product
Ensure information is passed to sections and that adequate volunteers are scheduled
This position runs from September through September with summer months being for the passing of information to a replacement
This position falls under the supervision of the Group Committee
Special Events Coordinator
Will head the committee responsible for the planning of special events within the 3rd Kanata Group
These might include
  • Swim up
  • Scout week activities such as the campfire
  • Santa Claus parade
Will work with the Group Committee and special events committee by planning and organizing such events
Will ensure information is passed to sections and that volunteers are in place
This position runs from September to September with summer months being for the passing of information to a replacement
This position falls under the supervision of the Group Committee
Section Fundraising Contact
Will work with the Fundraising Coordinator in carrying out fundraising activities of 3rd Kanata
Will sit on the committee planning such activities
Will act as liaison for their section in passing out information and recruiting volunteers
This position runs from September through June and falls under the supervision of the Fundraising Coordinator
Section Special Events Contact
Will work the Special Events Coordinator in planning special events in 3rd Kanata
Will sit on the committee to plan such events
Will act as liaison for their section to ensure participation and that volunteers are supplied to the event
The position runs from September to June and falls under the supervision of the Special Events Coordinator
Rink Coordinator
Will work with the section contacts to get the rink up and running at the start of the year
Will set the maintenance schedule for the season and ensure responsible parties are there as scheduled
Will be the contact for questions or maintenance issues
This position runs from November to April and falls under the supervision of the Group Committee
Section Rink Contact
Will work with the Rink Coordinator to maintain the rink by ensuring the section shows up when expected and that enough parent volunteers are present
Will assist in the initial opening of the rink
This position runs from December through March and falls under the supervision of the Rink Coordinator

Notes
Group Committee meets the 2nd Monday of each month, except where that Monday falls on a holiday weekend and then the meeting is deferred to the 3rd Monday.  Meetings are held at the Bridlewood Community Church of the Nazarene - 8:00 p.m.  Everyone is invited to attend monthly meetings.

It would be expected that coordinators would also be present when an agenda item was scheduled pertaining to their committee or field.

Scouts Canada provides a Gateway training course which is an excellent opportunity to learn about risk assessment and is required for anyone working with youth, as well as a likely asset for everyone.

We would also try to provide a quick overview of Scouts Canada for new volunteers that might be held prior to a regular event or meeting.
